Staff onboarding, run the same way every time

A staged programme for our 40-strong facilities team — from interview outcome and Carecheck vetting through offer paperwork and PPE through to day-one induction, site shadowing and probation reviews.

The onboarding stages

68 core steps for every new starter, plus role-specific steps.

  1. 1

    Manager onboarding request

The Managers Onboarding request form — the requesting manager supplies new starter details, induction booking, pay, vehicle and equipment requirements so HR and Compliance can set everything up.

As soon as the vacancy is filled · 27 steps

  2. 2

    Recruitment

Interview outcome recorded. Once the candidate has passed, they move to the conditional offer stage.

Before any offer · 3 steps

  3. 3

    Conditional offer & vetting

Conditional offer issued in writing, then the Carecheck triad — DBS, Digital ID and right to work — completed before the offer is confirmed. Operational (site-based) staff need an Enhanced DBS with Child Workforce check so they can work occasionally in schools and colleges; all other employed staff need a Basic DBS. Labour-only subcontract abseilers are not DBS checked — they get a recorded open-source media search instead.

  6. 6

Welcome, safety and the ground rules. Signed off before any unsupervised work.
